Create and edit a text document


Create, edit and format documents

Lesson objectives

1. Create paragraph of text and use word processing software to make changes to the
text

2. Edit text (including copying and moving text)

3. Text formatting, including font style, size and color, to make it suit a specific audience.

4. Demonstrate how to save a document with an appropriate name and save changes
made into an existing document
Key words

• Text : characters (letters, numbers and special symbols) that you type into a document.

• Audience : the people who will read your document

• Cursor: a small vertical line that blinks/flashes to show text will appear when it is typed

• Double-clicking: clicking the left mouse twice in a quick succession

• Font: a particular typeface

• Edit: make necessary changes in a document

• Format: organizing a document to improve its appearance to the audience


Adding, changing and moving text

• Adding text: new text appears at the cursor position. You should
therefore ensure to move the text cursor where you want your new
text placed

• changing text: replace typed text by deleting and typing new text or
highlighting the text you want to change and type new text over it.

• Moving text: changing the location of selected text in a document

• Selecting and dragging the text to the new location

• Selecting the text and sing the Cut and Paste option
Formatting text

• Changing font style: you should always use a font that is suitable for the audience as
some fonts look more fun than formal. Avoid using more than 2 different fonts in the
same document as this can make it difficult to read

• Changing font size: size of the font is called point size, often written as 10pt, 12pt etc

• Changing font color: selected using the font color tool

• Note: to change the style, size and font color in existing text you must first
select/highlight the text
Bold, underline and italicize text

• We bold, underline and italicize text to male it stand out or to


emphasize text
• Bolding makes the selected text darker
• Italicizing makes text slant forward
• We use the bold, italics and underline tools under the Home tab

Add images or other objects to a document
Lesson objectives

1. Demonstrate how to insert images into a document from Clipart or


a saved location, such as a shared drive or images folder.

2. Demonstrate how to resize images in a document while maintaining


the correct aspect ratio.

3. Add image border and rotate image to a suitable angle


Adding images and borders into a document

• We add images using the Insert tab

• You can then add pictures from the computer memory or online
pictures into your document

• making necessary changes into an image including:


1. Adding image borders

2. Rotating images
Editing images

• Adding picture border: we can add border around an image to make it


stand out more. We select the image and use the Format tab and
selecting an appropriate theme color and border weight

• Rotating an image: turning an image into a circular path. We rotate image


by dragging the circular arrow until the image is at the angle you want

• Flip image: create mirror image of the image


Wrapping text around an image

• Text wrap is a feature which allows us to surround images with text

• We use the text wrap tool under the format tab

• You first select the image to be able to wrap text around it


Adding page borders

• We use the design tab to add page border

• On the design tab you can choose the page border and style, color
and border width

1. Fonts size smaller than 10pts are hard to read when printed

2. Pictures should not be enlarged too much as they may become distorted

3. Templates can be used to help lay out text and images

4. Use spelling and grammar checkers to ensure that text is accurate
