8. Given a database application containing forms, queries, and reports, automate tasks and create a menu system which allows for efficient navigation and operation of the database’s functionality.
Scenario:
The purpose of this iLab is to show the student how to create navigation systems for an Access application. Students will create a main navigation form which links to additional navigation forms called Enter Data and View Reports. Additionally, students will create forms to automate printing reports and Closing/Exiting the Database. The Enter Data form allows you to open Customer and City forms automatically. The View Reports form allows the user to automatically open the Customer List and Customers by City reports. The Print Reports form will allow users to automatically print the reports. The Exit Database form allows users to close the database and exit the application entirely.
The navigation forms can provide some measure of security to the database as they may prevent users unfamiliar with Access from accessing database objects directly; they make using Access more intuitive to use, and can prevent new users from inadvertently damaging your database objects.

Preparation:
· Download the Access starter file from the Week 7 iLab page, and save the file onto “c:\” directory (your local drive)
· Using Citrix for MS Visio and/or MS Access
· If you are using the Citrix remote lab, follow the login instructions located in the iLab area in Course Home.
· You will have to upload the Lab7_Start.accdbfile to your Citrix folder. Follow the instructions located in the iLab area in Course Home.
· Start MS Access.
· If you are using Citrix, click on Microsoft Office Applications folder.
· If you are using Access on a local computer, select Microsoft Office from your Program Menu.

For this project, you enhance the functionality of the database for a friend’s music collection. Recall that in Guided
Project 4-1 you used the Report Wizard to create a report that shows all the songs on each album. For this project,
you create an improved report that is grouped by artist and shows all the albums and song details. You also use
Design view to create a main report and a subreport and customize the report in Design view to add sections, add
and edit controls, and add a running total.

1. Open the MusicDatabase-06.accb database start file.
2. The file will be renamed automatically to include your name. Change the project file name if directed
to do so by your instructor.
3. Enable content in the security warning.
4. Build the main report.
a. Click the Report Design button [Create tab, Reports group] to open a new report.
b. Click the Property Sheet button [Report Design Tools Design tab, Tools group].
c. Click the Format tab.
d. Enter 7" in the Width property.
e. Click the Data tab.
f. Click the drop-down arrow in the Record Source property and select the Album table.
g. Click the Add Existing Fields button [Report Design Tools Design tab, Tools group] to open
the Field List.
h. Add the AlbumName and ArtistName fields into the Detail section.
i. Edit the caption of the ArtistName label to read Recording Artist.
j. Edit the caption of the AlbumName label to read Album.
k. Save the report as SongListingOnAlbumsByArtist.
5. Add a group section to the report.
a. If not already open, click the Group & Sort button [Report Design Tools Design tab, Grouping &
Totals group] to open the Group, Sort, and Total pane at the bottom of the report.
b. Select the Add a group option in the Group, Sort, and Total pane.
c. Select the ArtistName field from the field list.
d. Click the More button in the Group, Sort, and Total pane to display the available options
(Figure 6-100).

- 4. CREATE REPORT IN DESIGN VIEW Click on Reports in the Database Window . Click on New . The New Report dialog box will appear. Select the Design View option. Click on button to see the list of tables. Choose a table from this table list. The Report window, with the selected table is displayed. As shown in Figure 8‑4. Click on OK to proceed. The Report pane window and the selected table with fields are displayed.
- 5. Select a field from the table and drag it to the Report pane. In the Report, it has three sections, which are the Page Header, the Detail and the Page Footer for designing the header, the body and the footer of the report respectively. When the design is finished, click on button to save to report design. The Save As dialog box will display. Type the report name. In this case, it is Book Report . Click on OK to save the report. To view the report, click on button. CREATE REPORT IN DESIGN VIEW
- 6. CREATE REPORT USING REPORT WIZARD Click on Reports in the Database window. Double click on Create report by using wizard. The report Wizard appears. Click in the tables/queries area to select the table with the fields for the report. Double click or click on > buttom for the field to include in the report. Click on Next . Click on the Type field to group report data. Click on Next to continue.
- 7. Click on and select the field for sorting the records. (e.g. Book_Code). Click on Next . Select a layout. (e.g. stepped) Select orientation. (e.g. portrait) Click on Next . Select on the report style. (e.g. Soft Gray) Click on Next . Type a name for your report. Click on Finish . CREATE REPORT USING REPORT WIZARD
- 8. CREATE REPORT USING AUTOREPORT Click on Reports in the Database window . Click on New . Click on the AutoReport: Columnar type on the New Report dialog box. Click on in the Table/Query area to select the tables for the report. Click on OK to create your report.
- 9. CREATE REPORT USING AUTOREPORT A report view with your designed is displayed. Click on File and Save As. Type the report name. Click on OK . When you finished viewing the report, click on button to close the report.
- 10. OPEN A REPORT Click on Report in the Database window . Double click on the name of the report to be opened
- 11. NAVIGATE THROUGH A REPORT (AT PRINT PREVIEW)
- 12. CHANGE THE VIEW OF A REPORT (AT PRINT PREVIEW) Click on this symbol, which is the view button. Select a view from the drop-down list. (e.g. design view)
- 13. ADD A PICTURE TO A REPORT Open the report in the design view. Click on to add a picture to your report. Click on where you want the picture to appear in your report. The Insert Picture dialog box appears. Click on in the Look In: dialog box. Click on the name of the picture you to be added to your report. Click on OK to add the picture to your report.
- 14. RENAME A REPORT Click on report in the Database Window . Right click on the name of the report to be renamed. Click on the rename option. Type a new name for the report and then press ENTER key. The report is displayed with new name in the Database Window .
- 15. DELETE A REPORT Click on Reports in the Database Window. Click on the name of the report you to be deleted. Click on button to delete the report. A dialog box appears, confirming the deletion. Click on Yes to permanently delete the report. The report is disappeared from the Database Window .
- 16. PRINT A REPORT Double click on the report to be printed. Choose File->Print .
