SOFTWARE REQUIREMENT SPECIFICATION
1. Introduction
The SRS is produced at the culmination of the analysis task. The
function and performance allocated to software as part of the system
engineering and refined by establishing a complete information
description, a detailed functional description, a representation of
system behavior, indication of performance requirements and design
constrains, appropriate validation criteria and the other information
related to requirements.
The SRS is technical specification of requirement of
Hospital Management system. This specification describes what the
proposed system should do without describing how it will do it. It
also describes complete external behavior of proposed system.
1.1. Purpose:-
The main purpose of our system is to make hospital task easy
and is to develop software that replaces the manual hospital system
into automated hospital management system. This document serves
as the unambiguous guide for the developers of this software system.
1.2. Scope:-
The documentonlycovers the requirementspecificationfor the
hospital management system. This document does not provide any
references to the other component of the hospital management
system. All the external interfaces and the dependencies are also
identified in this document.
1.3. Feasibility Study:-
The overall scope of the feasibility study was to provide
sufficient information to allow a decision to be made as to whether

the hospital management system project should proceed and so, its
relative priority in the context of the other existing hospital
management system.
The feasibility study of this project had undergone through
various steps which as describe as under:
a) Identify the origin of the information at different level.
b) Identify the expectation of user from computerized system.
c) Analyze the drawback of existing system.

1.6. Overview:-
Hospital Management System is a process of implementing
all the activities of the hospital in a computerized automated way to
fasten the performance.

This projectis to maintain the patientdetails, lab reports and
to calculate the bill of the patient. You can also manually edit any
patient details and issue bill receipt to patient within few seconds.
2. OVERALL DESCRIPTION
2.1. Product perspectives:-
This project gives the procedural approach how a patient
gets treatment, details about date of treatment and finally depending
on different criteria like room allocated, lab reports, treatment and
medicine taken…..etc,how billing is calculated. During billing health
card facility is also considered.
2.2. Product Function:-
The data represented in hospital management application will
perform the following major function:-
 Patient Details: - It includes inpatient and outpatient details.
 Lab reports
 Billing Details
This software will help to calculate the bill much quicker and
simpler way. This enables the organization to keep the
information in efficient and systematic way.
2.3. User Characteristics:-
This software is developed such that total appearance of the
product to make it more user friendly. The operator will be provided
with loginid and password. General users with basic computer skills
can use this software.

2.4. General Constraints:-
Any update regarding the patients information from the
hospital are to be recorded to have updated and correct values.
2.5. Assumption and Dependencies:-
All the data entered will be correct and up_to_date.This
software package is developed using java as front end which is
supported by sun micro system, MS SQL server 2005 as the back
end which is supported by Microsoft windows xp.
3. SPECIFIC REQUIREMENTS
It describes all the details thatthe software developerneed to know
for designing and developing the system. This is typically the largest
and most important part of the document.
3.1. External Interface Requirements:-
3.1.1. User Interface:-
User interface is designed in a user friendlymannerand
the user, in another end he has to give the order, for that he will
interface with keyboard and mouse.
3.1.2. Hardware Interface:-
1) OS – windows XP
2) Hard disk – 80 GB
3) RAM – 1 GB
4) Keyboard – Standard QWERTY keyboard for interface

3.2.1. Administration module:-
This module enables the user to insert, update, view
and delete the patient information.
3.2.2. Patient module:-
PatientId,Name,Age,Sex,Address,Phone Number,Weight
This module has following 2 sub modules:-
3.2.2.1. Inpatient module:-
This sub module is used to store information about
patients who were admitted in the hospital on doctors advice.
 PatientId, Dept depending on disease, Doctor, Room no, Date of
admitted, Advance, Date of discharge.
 Updation like deletion and modification is done.
3.2.2.2. Outpatient module:-
 PatientId,New_Case,Old_Case,Date,Deptdependingon
disease,Doctor .

3.2.3. Lab module:-
This module used to store or produce the laboratory
reports.
 PatientId, Weight, Category, Doctor, Inpatient/Outpatient, Date.
 Updation like deletion and modification is done.
3.2.4. Billing module:-
3.2.4.1. Inpatient module:-
PatientId, doctors charge, health card amount, room bill,
medicine bill, total amount, No of days, Service charge, Operation
theatre,Nursing care, Lab bill .
3.3. Performance Requirements:-
The capability of the computer depends on the performance of
the software. The software can take any number of input provided
the database size is large enough. This would depend on the available
memory space.
3.4. Design Constraints:-
This will help the doctors or users to view the records of the
patients immediately whenever necessary. They can also calculate
the bill of the particular patients. This software also has the ability
to add, update and delete the record whenever needed. This project
will help to smoother the process of the hospital activites.

techniques.
Theyshouldbe able tokeeptrack of the recordsof the doctors,patients,nurses,andotherhospital
staffs.Butif these recordsare maintainedonthe paper,itwill notbe a cup of tea that can be sipped
withoutburningthe lips.
It isnot veryefficient,isnotreliableandisverytime consumingprocess.Intoday’shighlytechnological
era,it isnot feasible notbyalsotechnicallybutalsoeconomically.
So,I thoughtof makingan automatedsystemforkeepingthe tracksof all the activitiesandmaintaining
theirrecords.
It iscalled“Hospital ManagementSystem”.Mymainaimisto minimize the paperworkof the hospital as
minimumaspossible,if notcompletely.

OBJECTIVE

of it.
 Computerization- All the detailsregardinghospitals,whetheritissmall orbig,will be
computerised.
 Automated inventory– If the medicinesare providedtothe patients,the stock will be reduced
inthe inventory,andwillhelpintoknow the statusthe available medicines.

ADMIN MODULE OF HOSPITAL MANAGEMENTSYSTEM
 It isthe mostpowerful userof the system.
 There will be onlyone adminintothe system.
 The admincan create and manage all other7 user accounts.He / she can delete anyaccount
accordingto need.
 The admincan monitorall the activitiesof the hospital.Whateverisgoingonintothe hospital,
will be availableinthe adminpanel.
 If other violatesthe codesof the hospital,he cantake immediateactionsandcancharge that
user.
Before discussingaboutother7modules,letme tell yousome commonfeatures,whichwillbe involved
intothese modulesandtheirfunctionalitieswill be same acrossall of the sevenmodules.
ENTERING INTO THE SYSTEM (REGISTRATION)
Everysingle type of userexceptadminwillgothroughinitial phase i.e.registrationinordertostartwith
the system.
The registrationprocesswill notbe exactlysame forall type of users.The followingare the common
requirementfields:
 Name – The userwill be askedtoenterhis/ herfull name.
 Password – It isthe keyfieldwhichwillhelpthe usertohave secure accountinthe system.
 Contact No. – The concernedusershouldalsoprovide hispersonalmobile numberorresidence
contact numbersothat he / she can be contactedat the time of need.

 Email ID – Now,email addresshasbecome forthe forthe communicationpurpose,verifyingthe
usersinvolvedinthe system.Ithelpsinmakingthe authenticatedsystem.
VERIFICATION
Whenthe user entersall above detailsinthe validform, he /she shouldreadthe termsand conditions,
and policy.
If he / she issatisfiedwithall the statementsstatedinthose termsandconditions,policypage,he /she
shouldtickthe checkbox.
Whenthisregistrationprocessiscompletedsuccessfully,amail will be senttothe email addressforthe
verificationpurpose.
The user will have tofollowsimple orderof instructions.Aftercompletionof these steps,aunique idwill
be generatedandgiventothe concerneduser,whichwill be mainlyusedlateronaspatientID,doctor
ID, accountantID, nurse ID etc.
LOGIN
Thisis alsothe maincommonfeature of the hospital managementsystem.
Everytype of userwill have toenterhis/her unique idasloginid,whichwasgiven toher / himafter
completingthe email verification,andthe password.If bothloginidandpasswordare matchedwiththe
credential storedintothe system, the userwill be grantedtoaccessintothe system.
For everytype of userthere will be differentview anddifferentprivilegesof the system.
FORGOT LOGINID OR PASSWORD
Forgettingisa humannature.None can denythisfact.There mightbe possible thatauseris tryingto
access the systemaftera longperiodof time,andhe or she may forgethis/ herregisteredloginidor

passwordor bothof them.Ihave takenthe users’thatconcerntoo intothe account so that itis
smootherforhim/ herto recoverthe loginidor passwordaccordingto need.
 Via Email - The usersjusthave to entertheirrespectivevalidregisteredemail idsintothe field.
An immediateemailwillbe senttotheirrespectiveemailidswithsome setof instructionsto
recoverthe loginidand password.
 Via Mobile – In orderto recoverthe passwordandloginid,the userjust have enterthe
registeredemailidandregisteredmobile number(both).A 6-digitPIN combinationwillbe sent
to the respective mobile numberandthatPIN mustbe enteredintothe appropriate field.If it
matcheswiththe generatedPIN number,the userwillbe able torecoverloginidandpassword.
CHANGEPASSWORD
Securityplaysavital role intoany system.Suppose,someone knowsthe loginidandpassword
combination,thatwouldbe athreat.
That burglarmay misuse the system,steal the private informationetc.So,if anyusersuspectshis/her
logincredentialsare compromised,thatusermustchange his/ her passwordimmediately.
Edit Profile
It isanothercommonfeature of thismanagementsystem.Itisnotpossible toaskall the important
informationfromthe useratthe time of registration.
Thiswouldmake the difficulttimeforthe userwhoistryingto create the accountfor the firsttime into
the system.
So,a usercan enterhis/ herpersonal informationanytime theywant.One of themis address.Itis
mandatoryfor some future communications.
It consistsof the apartmentnumber,areaname,streetname,cityname,zipcode,countryname etc.
The followingare some additional informationthatneedstobe updated:

 Age
 Gender

 Profile Photo –The user mustuploadhis/ herprofile photoafterfirstlogin.
 Designation –(ForHospital staffs)
And,the userscan update any of these fieldsortheircontactnumbersanytime theywant.
Now,I have detailedall the commonfeaturesforsevenmodules.Letusgetintothe otherdifferent
featuresof eachmodule.
Receptionist
Receptionistwillbe the userthatwill keeptabsof the appointments.Thisuserwill maintainthe time
table of each doctor.Thistime table of each doctor will be available tothe patients.
The other taskthe receptionistcandois,filteringthe appointmentsbasedondoctorsandtime periods
so that itis easyto accessthe appointmentrecord.
Accountant
Accountantisthe userwhodealswithfinancial transactionsof the hospitals.All the payment
informationandinvoiceswillbe managedbythe accountant.
Pharmacist
All the medicinesandtheirinformationinthe hospital are managedbythe pharmacists.He /she can
viewwhichmedicinesare inthe stocksandwhichare to be needed.
He / she can filterthe medicinesbasedondate i.e.expireddate sothatit iseasiertoknow which
medicinesare goingtoexpire sothatthose can be arrangedat the hourof the need.
Whenthe patientprovidesthe prescriptiontothe pharmacist,the pharmacistcanprovide the
appropriate medicationstothe concernedpatient.
Patient

A patientcanmake an appointmentwiththe available doctors.The time table will be shownwhichis
directedbyreceptionist.Whenthe doctorapprovesthe appointment,the patientwill be notifiedviathe
sms.
The patientcan viewthe doctor’sreportabouthis/ her appointmentandhis/herprescriptiondetails.
Thus the patientcanclearlyknowwhathas happenedtohim/her and how she or he shouldtake care
of herself orhimself.
If there are some serioushealthissuesandthe patientisneededtobe admittedintothe hospital,the
bedwouldbe allottedtohimor her.The patientcan view the informationaboutthe allottedbed.
The patientcan alsohave private message sessionwiththe doctors.
Nurse
Nurse isan assistantof the doctor. The nurse is helpsthe doctorsinperformingthe operations.She
takesthe diagnosticreportandprovide tothe doctor.
Laboratorist
Wheneverapatientisaskedbydoctor to have some tests,sothat the doctor can prescribe some
medicationsaccordingthe testresult,the patientgoestothe lab.
There labassistantdiagnosessome testsandgenerate the reports.Thisreportfurtherishandedoverto
the nurse’saccount.
Doctor
Doctor isthe userwhowill helpthe patientswiththeirphysical health.The doctorwill be able to

approve the appointmentswhetherhe orshe wantsto take itor not.
If the doctorwants,he or she can cancel the appointments.The concernedpatientwill be notifiedvia
sms.
The doctor can viewthe medicationhistoryof the patients.The doctorcan provide prescriptionstothe
patients.
The doctor will be able tohave private conversationwiththe patients.There mightbe chance whenthe
patientneedsmedical assistanceathome or anywhere buthospital.So,Iwill provide the private
message roomforthe doctorand patient.

The function and performance allocated to software as part of the system engineering and refined by establishing a complete information description, a detailed functional description, a representation of system behavior, indication of performance requirements and design constrains, appropriate validation criteria and the other information related to requirements. The SRS is technical specification of requirement of Hospital Management system. This specification describes what the proposed system should do without describing how it will do it. It also describes complete external behavior of proposed system. 1.1. Purpose:- The main purpose of our system is to make hospital task easy and is to develop software that replaces the manual hospital system into automated hospital management system. This document serves as the unambiguous guide for the developers of this software system. 1.2. Scope:- The documentonlycovers the requirementspecificationfor the hospital management system. This document does not provide any references to the other component of the hospital management system. All the external interfaces and the dependencies are also identified in this document. 1.3. Feasibility Study:- The overall scope of the feasibility study was to provide sufficient information to allow a decision to be made as to whether

Overview:- Hospital Management System is a process of implementing all the activities of the hospital in a computerized automated way to fasten the performance.

You can also manually edit any patient details and issue bill receipt to patient within few seconds. 2. OVERALL DESCRIPTION 2.1. Product perspectives:- This project gives the procedural approach how a patient gets treatment, details about date of treatment and finally depending on different criteria like room allocated, lab reports, treatment and medicine taken…..etc,how billing is calculated. During billing health card facility is also considered. 2.2. Product Function:- The data represented in hospital management application will perform the following major function:-  Patient Details: - It includes inpatient and outpatient details.  Lab reports  Billing Details This software will help to calculate the bill much quicker and simpler way. This enables the organization to keep the information in efficient and systematic way. 2.3. User Characteristics:- This software is developed such that total appearance of the product to make it more user friendly. The operator will be provided with loginid and password. General users with basic computer skills can use this software.

Assumption and Dependencies:- All the data entered will be correct and up_to_date.This software package is developed using java as front end which is supported by sun micro system, MS SQL server 2005 as the back end which is supported by Microsoft windows xp. 3. SPECIFIC REQUIREMENTS It describes all the details thatthe software developerneed to know for designing and developing the system. This is typically the largest and most important part of the document. 3.1. External Interface Requirements:- 3.1.1. User Interface:- User interface is designed in a user friendlymannerand the user, in another end he has to give the order, for that he will interface with keyboard and mouse. 3.1.2. Hardware Interface:- 1) OS – windows XP 2) Hard disk – 80 GB 3) RAM – 1 GB 4) Keyboard – Standard QWERTY keyboard for interface 5) Mouse – Standard mouse with 2 buttons

Functional Requirements:- 3.2.1. Administration module:- This module enables the user to insert, update, view and delete the patient information. 3.2.2. Patient module:- PatientId,Name,Age,Sex,Address,Phone Number,Weight This module has following 2 sub modules:- 3.2.2.1. Inpatient module:- This sub module is used to store information about patients who were admitted in the hospital on doctors advice.  PatientId, Dept depending on disease, Doctor, Room no, Date of admitted, Advance, Date of discharge.  Updation like deletion and modification is done. 3.2.2.2. Outpatient module:-  PatientId,New_Case,Old_Case,Date,Deptdependingon disease,Doctor .

Lab module:- This module used to store or produce the laboratory reports.  PatientId, Weight, Category, Doctor, Inpatient/Outpatient, Date.  Updation like deletion and modification is done. 3.2.4. Billing module:- 3.2.4.1. Inpatient module:- PatientId, doctors charge, health card amount, room bill, medicine bill, total amount, No of days, Service charge, Operation theatre,Nursing care, Lab bill . 3.3. Performance Requirements:- The capability of the computer depends on the performance of the software. The software can take any number of input provided the database size is large enough. This would depend on the available memory space. 3.4. Design Constraints:- This will help the doctors or users to view the records of the patients immediately whenever necessary. They can also calculate the bill of the particular patients. This software also has the ability to add, update and delete the record whenever needed. This project will help to smoother the process of the hospital activites.

ADMIN MODULE OF HOSPITAL MANAGEMENTSYSTEM  It isthe mostpowerful userof the system.  There will be onlyone adminintothe system.  The admincan create and manage all other7 user accounts.He / she can delete anyaccount accordingto need.  The admincan monitorall the activitiesof the hospital.Whateverisgoingonintothe hospital, will be availableinthe adminpanel.  If other violatesthe codesof the hospital,he cantake immediateactionsandcancharge that user. Before discussingaboutother7modules,letme tell yousome commonfeatures,whichwillbe involved intothese modulesandtheirfunctionalitieswill be same acrossall of the sevenmodules. ENTERING INTO THE SYSTEM (REGISTRATION) Everysingle type of userexceptadminwillgothroughinitial phase i.e.registrationinordertostartwith the system. Whenthisregistrationprocessiscompletedsuccessfully,amail will be senttothe email addressforthe verificationpurpose. The user will have tofollowsimple orderof instructions.Aftercompletionof these steps,aunique idwill be generatedandgiventothe concerneduser,whichwill be mainlyusedlateronaspatientID,doctor ID, accountantID, nurse ID etc. LOGIN Thisis alsothe maincommonfeature of the hospital managementsystem. Everytype of userwill have toenterhis/her unique idasloginid,whichwasgiven toher / himafter completingthe email verification,andthe password.If bothloginidandpasswordare matchedwiththe credential storedintothe system, the userwill be grantedtoaccessintothe system. For everytype of userthere will be differentview anddifferentprivilegesof the system. FORGOT LOGINID OR PASSWORD Forgettingisa humannature.None can denythisfact.There mightbe possible thatauseris tryingto access the systemaftera longperiodof time,andhe or she may forgethis/ herregisteredloginidor

An immediateemailwillbe senttotheirrespectiveemailidswithsome setof instructionsto recoverthe loginidand password.  Via Mobile – In orderto recoverthe passwordandloginid,the userjust have enterthe registeredemailidandregisteredmobile number(both).A 6-digitPIN combinationwillbe sent to the respective mobile numberandthatPIN mustbe enteredintothe appropriate field.If it matcheswiththe generatedPIN number,the userwillbe able torecoverloginidandpassword. CHANGEPASSWORD Securityplaysavital role intoany system.Suppose,someone knowsthe loginidandpassword combination,thatwouldbe athreat. That burglarmay misuse the system,steal the private informationetc.So,if anyusersuspectshis/her logincredentialsare compromised,thatusermustchange his/ her passwordimmediately. Edit Profile It isanothercommonfeature of thismanagementsystem.Itisnotpossible toaskall the important informationfromthe useratthe time of registration. Thiswouldmake the difficulttimeforthe userwhoistryingto create the accountfor the firsttime into the system. So,a usercan enterhis/ herpersonal informationanytime theywant.One of themis address.Itis mandatoryfor some future communications. Receptionist Receptionistwillbe the userthatwill keeptabsof the appointments.Thisuserwill maintainthe time table of each doctor.Thistime table of each doctor will be available tothe patients. The other taskthe receptionistcandois,filteringthe appointmentsbasedondoctorsandtime periods so that itis easyto accessthe appointmentrecord. Accountant Accountantisthe userwhodealswithfinancial transactionsof the hospitals.All the payment informationandinvoiceswillbe managedbythe accountant. Pharmacist All the medicinesandtheirinformationinthe hospital are managedbythe pharmacists.He /she can viewwhichmedicinesare inthe stocksandwhichare to be needed. He / she can filterthe medicinesbasedondate i.e.expireddate sothatit iseasiertoknow which medicinesare goingtoexpire sothatthose can be arrangedat the hourof the need. Whenthe patientprovidesthe prescriptiontothe pharmacist,the pharmacistcanprovide the appropriate medicationstothe concernedpatient. Patient

Thus the patientcanclearlyknowwhathas happenedtohim/her and how she or he shouldtake care of herself orhimself. If there are some serioushealthissuesandthe patientisneededtobe admittedintothe hospital,the bedwouldbe allottedtohimor her.The patientcan view the informationaboutthe allottedbed. The patientcan alsohave private message sessionwiththe doctors. Nurse Nurse isan assistantof the doctor. The nurse is helpsthe doctorsinperformingthe operations.She takesthe diagnosticreportandprovide tothe doctor. Laboratorist Wheneverapatientisaskedbydoctor to have some tests,sothat the doctor can prescribe some medicationsaccordingthe testresult,the patientgoestothe lab. There labassistantdiagnosessome testsandgenerate the reports.Thisreportfurtherishandedoverto the nurse’saccount.
