Organizational Alignment
Organizational Alignment
http://bonzai-intranet.com/What makes a great Intranet?
What does my organization need and why?
• Understand what is going to help your organization become great
• Different organizations have different priorities.
Who needs what in order to be successful?
• What do the executives want?
• What do users need?
• What do managers need?
Who will be the champions?
• Great Intranets are driven top down AND bottom up
• Change is hard so who will be the light guiding the path?
Great Technology
http://bonzai-intranet.com/What makes a great Intranet?
Robust technology suited to your organization
• SharePoint and Office 365 isn’t the best fit for every
organization
• Choose the technology that makes sense
What features and capabilities will provide you
value?
• News and Events Publishing
• Forms and Workflow
• Powerful search capabilities
• Social and Engagement tools
• Mobile capabilities
• Etc..
Great Content
http://bonzai-intranet.com/What makes a great Intranet?
Great content doesn’t just
happen it needs to be planned
• Content Audit: Understanding your
current content
• Content Review: What will you keep,
delete and re-write
• Content Plan: Who will write the new
content or migrate existing content
• Content Authoring Guidelines: How
do you ensure all content is great
• Content Review: Who will review
content and how often?
Great People
http://bonzai-intranet.com/What makes a great Intranet?
Executive Sponsorship and Support
• An new Intranet requires a huge amount of change that
should be endorsed by executives
• In any time of change people are lead by example hence
the reason executive support is so important
Change Management
• You need your Intranet champions to be able to move
the Intranet project along
• Communication throughout your Intranet launch is key
Correct Roles and Responsibilities
• People need to know what is expected of them. Most
organizations don’t have dedicated Intranet teams
Great Processes
http://bonzai-intranet.com/What makes a great Intranet?
Governance is key
• Governance is key to make sure your Intranet is viable
long term
• Organizations will have different governance styles – it
doesn’t have to be draconian
Support Processes
• How to users get help?
• How do I suggest a new feature?
• How does someone become a content author?
Engagement and Authoring Guidelines
• Writing best practices
• Profile Picture best practices

How NOT to create a great Intranet
http://bonzai-intranet.com/Intranet Trends
“I just need a theme
for my SharePoint site
so that it looks nice”
“We don’t have
anyone responsible
for content”
“We only want news
on the homepage”
“Just put all the links
to the applications
that people actually
use”
“Lets not tell anyone
about the new
Intranet and just
launch it on Monday”
“We will clean up the
content later, just put
it all on there for
now”
“The executive just
wants a nice
homepage so lets just
do that”
“There is no point
asking the users what
they want”
“This is an IT project
and no one else will
be involved”

Experience
Simplification of content and structure
http://bonzai-intranet.com/Intranet Trends
• Definite trend to have a “deeper”
rather than “wider” information
architecture
• You don’t need every single
historical piece of content on your
Intranet
• More is less is very common for
new or existing Intranet projects
• Less, but more accurate, taxonomy
is more valuable
Get help from outside
http://bonzai-intranet.com/Intranet Trends
An Intranet is a massive initiative that requires
many skills
Almost all of the winners of the Nielsen
Norman 2018 report had outside help
Help could be technical, user experience,
planning or execution
You probably can do it yourself but look at
seeing if you can augment your team
Platforms like SharePoint can be a beast to
work with so external help would be beneficial
Concentrate on User Experience
http://bonzai-intranet.com/Intranet Trends
User Experience is not just about
having a good looking Intranet
You need to understand what your
users need to be able to perform
their jobs
Content, Design, Interactions,
Structure and Information
Architecture all contribute
If your content is crap doesn’t
matter how pretty your Intranet is
What can you do?

What can I do?
http://bonzai-intranet.com/What can you do?
• An Intranet is much more than an simple
install of software so you need to plan
• You can try to go it alone but there is a lot to
consider
• You can follow this series but why don’t we
touch upon 2 super important items in
creating an amazing Intranet now

2. Site Structure Mapping
Information Architecture Activities
3. Tree testing
1. Card Sorting
Card Sort Exercise
What can you do? http://bonzai-intranet.com/
Card Sort is performed remotely using Optimal
Workshop tool.
Card sorting provides an initial structure or
organization of content. The results inform the Site
navigation.
Analysis from OptimalSort
Tree Testing – Optimal Workshop Treejack
What can you do? http://bonzai-intranet.com/
Validate the Site Structure based on how successful
participants are on finding content
Between 10-14 questions, multiple answers may be created
as content may be accessible from multiple locations.
Results show other locations participants clicked on to find
content, suggesting other ways to improve the organization
of content.
The end result is data that you can use to best structure
content, navigation, site structure and taxonomy
Keep it clear and
simple. Don’t make
users guess!
Bonzai Intranet Introduction http://bonzai-intranet.com/
IA Best Practices
Simple but effective guiding principles
http://bonzai-intranet.com/
Label clearly – do not use tag lines or current company tag
lines too prominently.
Use short names – people do not read they scan.
Organize by type not ownership – org structures
change, type of information does not.
Mutual exclusivity – do not confuse users with similar labels.
Provide multiple pathways to content – information seeking
is dependent on the user and the task they are trying to
complete.

• End users can contribute
content such as news,

• Allows broad engagement
from employees.
• Should only be used in
specific areas to ensure
content authority for
important information.
Centralized End User
• Business units responsible
for uploading their content
to the Intranet.
• Ensures ownership and
responsibility.
• Needs to be well managed

  • 34. Keep it clear and simple. Don’t make users guess! Bonzai Intranet Introduction http://bonzai-intranet.com/ IA Best Practices Simple but effective guiding principles http://bonzai-intranet.com/ Label clearly – do not use tag lines or current company tag lines too prominently. Use short names – people do not read they scan. Organize by type not ownership – org structures change, type of information does not. Mutual exclusivity – do not confuse users with similar labels. Provide multiple pathways to content – information seeking is dependent on the user and the task they are trying to complete. What can I do?
