Showcase of Reports
Garth Wilson
The following document is a brief walkthrough of selected reports
that I created in Microsoft Excel for the purpose of analysing,
understanding and communicating to managers key elements of
the purchasing and inventory position of the workplace.
These reports were made to complement and utilise information
generated from several software sources, principally H&L’s Sysnet
(Hospitality Inventory Program) and MYOB.
Please note – The images shown in this demonstration are examples of working documents. The
information contained in these spreadsheets contain fictional information that I have inputted to
replace original figures.
Utilising Microsoft Excel
I learnt basic excel skills at university in subjects such as accounting, quantitative
methods and managerial economics but the bulk of my learning came as a consequence
of my employment. Over the course of several years I developed advanced coding skills
as I found increased ways to extrapolate meaningful data from expansive data arrays.
Excel Functions
Purpose of Reports
The 3rd party software that generated the majority of reports for
the business had shortfalls in key analytical information. The
necessary data was recorded but wasn’t presented in a way that
the information could be easily grasped.
As a result I developed these reports in Excel to make use of the
mass data to understand previous results, observe trends and
forecast future events.
General Reports for Managers
Drawing meaningful information out of vast data arrays can often be challenging. This
is often compounded when communicating to end users such as managers on how
this data is applicable to decision making.
General Reports for Accounts
General Cost Reports
Assisting the Accounts department by monitoring trends, and providing
running summaries of the performance of outlets.
Detailed Cost Report
Detailed Analysis
Comprehensive insights into business divisions.
Important information can be drawn from large data sets via coding to determine how
certain factors impact profitability – Below is an automatically generated summary page
of a data table from the next slide.
Large Data Sets
On its own broad data tables such as that shown below are of limited utility.
The role of the analyst is to create parameters that transform the data gathered into
meaningful information from which business decisions can be made.
* Note how the information on the last slide is far more useful than that displayed here.
Specific Reports
By understanding different methods to extract data through algorithms in
Microsoft Excel specific reports can be easily generated.
Comprehensive Reports
Below is the first page of an extensive workbook detailing an outlet’s historic and current
inventory position. (The next 4 slides are from this same workbook)
This spreadsheet draws on data from around 70,000 unique cells, across 42 tabs/pages. That data is
then exhibited in a user friendly way over 4 summary pages for efficient and detailed analysis.

Comprehensive Reports
Before you is a monthly chart of fluctuating food and beverage holdings at an outlet.
Here you see the broad financial value of the assets.
Next are pages showing the value of holdings by stock groups, and finally by stock item.

I created this workbook to be entirely automated. This spreadsheet, and the
spreadsheets on the preceding 3 slides update immediately when new data is
introduced. This process is shown on the next slide.

I export a raw data file from a 3rd party program into Excel, and then import that into the
spreadsheet. Using complex formulas that data is then read by Excel and presented within the
parameters shown on the previous slides.
