Orchestrator : Overview
UiPath Orchestrator is a web-based platform designed to manage and coordinate robots in automating repetitive business tasks. It serves
as the central hub for managing automation resources and facilitating access to them through hierarchical structuring and detailed role
assignments. Orchestrator also integrates seamlessly with third-party applications and solutions. Its strength lies in its ability to oversee
and manage a fleet of robots effectively.
Key Features:
• Attended Automation: Orchestrator ensures centralized management and precise delivery of package versions to robots for real-time
execution.
• Unattended Automation: Orchestrator enables immediate or scheduled execution of unattended tasks, optimizing robot usage by
distributing workloads efficiently, either dynamically or based on predefined constraints.
Core Capabilities:
• Provisioning: Establishes and maintains the connection between robots and the web application.
• Deployment: Ensures that the correct package versions are delivered to the appropriate robots for execution.
• Configuration: Manages and delivers robot environments and configuration settings for processes.
• Queues: Facilitates automatic workload distribution among robots.
• Monitoring: Tracks robot identification data and manages user permissions.
• Logging: Collects and indexes logs into an SQL database or Elasticsearch.
• Inter-connectivity: Acts as the central communication hub for third-party solutions and applications.

Product Availability : Across Deployment Options
Automation Cloud is the recommended delivery model for most
scenarios
.

• The most products, more features within products, and more
cross-product feature integrations
• Enterprise-grade management with support with 8 regions
• Secure multi-tenant, virtually-isolated architecture
• Earliest access to new platform capability

+ Product has additional features in Automation Cloud vs.
Standalone-installed and/or Automation Suite delivery.
Automation Suite offers many of the integrated benefits of
Automation Cloud for self-hosting, with annual feature updates.
It is usually recommended where Automation Cloud is not viable for
policy or regulatory reasons. Automation Suite requires advanced
IT capabilities in Linux and Kubernetes.
Note: Standalone-installed product servers such as Orchestrator, will
continue to be supported and included in our major releases
However, not all features and capabilities available in
Automation Cloud and Automation Suite will be available in the
standalone-installed versions of products.

12
Folder Migration Considerations
Folder Migration Pre-requisite
Classic folders are no longer the standard for managing automations in UiPath, having been replaced by modern folders, which offer
enhanced features and flexibility. As of October 2022, the option to create new classic folders has been removed, and support for
classic folders is being deprecated.
Here are the key points and steps to ensure a smooth migration from Classic to Modern folders:
Moving to the Cloud or On-prem UiPath 23.10/24.10
• If your team is moving to the Cloud or upgrading to the 23.10 or 24.10 on-premises versions of UiPath, it is essential to transition
from classic folders to modern folders.
• Modern folders provide better management features, flexibility, and scalability, especially in a cloud environment.
Standardizing UiPath.System.Activities Package Version
• To ensure all processes run smoothly during migration, standardize the UiPath.System.Activities package version across all
processes.
• Version 20.10 or higher should be used to avoid compatibility issues.
13
Modern folders have been introduced to streamline the orchestration of automations, offering numerous advantages over classic folders.
As a more feature-rich and efficient alternative, modern folders have become the standard for managing automations.
Important Note: Classic folders are no longer the default for managing automations and have been replaced by modern folders. As of
October 2022, the ability to create new classic folders has been removed, and the deprecation of classic folders has begun.
Transitioning to Modern Folders:
To support the transition to modern folders, the Modern Migration Wizard is available. This tool helps to easily recreate your classic
folder hierarchy and entities in modern folders, ensuring that all dependencies and configurations are preserved during the migration
process.
Assisted Migration Using Orchestrator Manager
To simplify the process of migrating to modern folders, you can use the UiPath Orchestration Manager. This is a Studio project that uses
the Orchestrator API to manipulate entities based on Microsoft Excel workbooks. For instructions on how to use it for migration, see the
product's documentation.

Lift & Shift vs. Incremental Migration
Lift and Shift Incremental Migration
This approach involves moving your existing environment to the cloud
with minimal modifications, allowing you to transfer your setup as-is..
This approach uses an agile method, enabling you to gradually update,
test, and move processes in stages. You have control over which parts to
migrate and when, allowing for seamless operations while the migration
takes place.
Best option for:
1. Well-established and stable setups
2. Easy, quick, Copy-Paste
3. Systems that don’t need significant changes
4. Customers who have already migrated to modern folders.
Ideal Tool: Cloud Migration Tool
Best option for:
1. Larger and older systems that need modernization
2. Step-by-step migrations, ensuring clarity and control
3. Gradual transition to the cloud, at your own pace
4. Combining multiple tenants and making necessary structural
adjustments

In Place Approach - Upgrade of current environments
on existing hardware (in use/production).
Upgrade one environment (i.e., Dev, Test,
Prod) at a time as testing of processes allows
to move forward sequentially
Parallel Approach - Installation of latest version of UiPath
software on new hardware for all environments, allowing to test
and migrate processes onto new environments while all existing
environments in production remain unaffected.
On-Premise Upgrade Methods
29
Key Considerations In Place Approach Parallel Approach
New Infrastructure/Hardware Not Required Required
Upgrade duration Quicker to implement than in Parallel Need to plan installation of new environment and
time to do the migration of data, packages, etc.
from old to new environment
Rollback effort & production
impact
Longer Production downtime due to need to
rollback installation on existing hardware
Shorter Production downtime since you can
quickly switch back to old environment
Risk & SLA adherence Use when Business interruption is acceptable Use when Business interruption not acceptable
Maintenance window 2 -8 hours Minutes to flip the switch to new production
environment.
Planned and executed over days/weeks.
Key benefits No additional infrastructure cost, low effort &
quicker, but requires few hours of maintenance
window in Production
Minimal Production downtime, easy rollback, lets
you to start fresh with new/better hardware
Things to consider when deciding approach

Best Practices for Expedited
Database Maintainence Classic to Modern Migration Back-ups and Restoration Other Practices
 Please ensure your database
size is not huge and you will not
run into timeout issues during
database migration.
 Please consult with your DBA
and IT for any potential
performance issues.
 Please take the backup of the
database before upgrade
activity.
 From 23.4, classic folder is
deprecated and migrating to
modern folder is must.
 If you are in version earlier than
22.10 and planning to upgrade
to 23.4, please ensure this
migration is completed before
upgrade.
 If you are planning to upgrade to
version before 23.4, you can still
use classic folders.
 Please take application backup
or the VM snapshot in case
restoration is required when
upgrade fails.
 It is recommended to take the
backup of packages and other
files as best practice.
 Take a backup of Configuration &
Settings files.
 HAA: If you are on multi-node
setup, we recommend to
upgrade Redis to latest
supported version as well.
 Involve IT, Infra, Security team
and Business stakeholders

  • 12. 12 Folder Migration Considerations Folder Migration Pre-requisite Classic folders are no longer the standard for managing automations in UiPath, having been replaced by modern folders, which offer enhanced features and flexibility. As of October 2022, the option to create new classic folders has been removed, and support for classic folders is being deprecated. Here are the key points and steps to ensure a smooth migration from Classic to Modern folders: Moving to the Cloud or On-prem UiPath 23.10/24.10 • If your team is moving to the Cloud or upgrading to the 23.10 or 24.10 on-premises versions of UiPath, it is essential to transition from classic folders to modern folders. • Modern folders provide better management features, flexibility, and scalability, especially in a cloud environment. Standardizing UiPath.System.Activities Package Version • To ensure all processes run smoothly during migration, standardize the UiPath.System.Activities package version across all processes. • Version 20.10 or higher should be used to avoid compatibility issues.
  • 13. 13 Modern folders have been introduced to streamline the orchestration of automations, offering numerous advantages over classic folders. As a more feature-rich and efficient alternative, modern folders have become the standard for managing automations. Important Note: Classic folders are no longer the default for managing automations and have been replaced by modern folders. As of October 2022, the ability to create new classic folders has been removed, and the deprecation of classic folders has begun. Transitioning to Modern Folders: To support the transition to modern folders, the Modern Migration Wizard is available. This tool helps to easily recreate your classic folder hierarchy and entities in modern folders, ensuring that all dependencies and configurations are preserved during the migration process. Assisted Migration Using Orchestrator Manager To simplify the process of migrating to modern folders, you can use the UiPath Orchestration Manager. This is a Studio project that uses the Orchestrator API to manipulate entities based on Microsoft Excel workbooks. For instructions on how to use it for migration, see the product's documentation. Editor's Notes

  • #6: Just to make the delivery options, and capabilities of each a little clearer, we have this chart. It shows clearly how Automation Cloud and Automation Suite enable you to get the most capability from UiPath – both in terms of the integrated products included and what we call “Unified Admin” – built-in technical capabilities that maximize enterprise capability. We operate a “cloud-first, customer choice” policy, which means that the absolute most capability is available first as SaaS in Automation Cloud. Following that, in a future on-prem release we bring those new capabilities into Automation Suite, for customers who cannot go with Automation Cloud for policy or other reasons. Both Automation Cloud and Automation Suite are licensed with UiPath Flex SKU’s, which, as the name implies, allow you to run either SaaS or Self-hosted, and move between them as you wish. Perhaps less obviously, but very importantly though, Automation Cloud and Automation Suite have Unified Admin. This is a value multiplier across all those included products and you see some of the highlights on the right. But broadly there are two ways you get additional value: First: There are lots of additional features for operating efficiently in an enterprise environment. Second: There are additional integrations between the products, and in some cases additional features within the products. We expect this differentiation between standalone and Cloud or Suite versions of products to continue. So going to Automation Cloud or Automation Suite isn’t just about getting all the products a different way. It’s much more. The MSI Standalone column shows you what we have available as our standalone, RPA centric products. As you can see, this is quite a subset of the full capability, and does not include products like UiPath Apps and Automation Ops. They also don’t include the additional capabilities across and within the products (like Insights offering analytics of additional areas across the platform), or significant additional tooling to deliver, govern and operate the business UiPath Automation Platform itself more cost-effectively and with a faster time to value. So, as the slide makes clear, we are about cloud-first, customer choice for delivery of the Business Automation Platform – with flex licensing, you can use either Automation Cloud or Automation Suite. Our typical recommendation for most customers is that Automation Cloud offers the fastest time to value with the lowest TCO, both for getting up and running quickly and, importantly, for adding more capability in the future as your automation needs change.
  • #9: While every environment is different, many admin tasks and costs associated with on-premises deployed can be eliminated by moving to Automation Cloud. These are tasks that will simply no longer exist for the customer. They include time and risk associate with updating (often a major pain point), compliance certification and related audits, as well as infrastructure optimization and monitoring (whether the infrastructure is physical or virtual). UiPath takes care of all these things at scale. And, of course, they happen almost instantly. This includes some high business impact areas like adding new services when an urgent need or opportunity arises. Adding services like AI Center or Insights becomes a few minor administrative clicks, not an installation and configuration project – and again it can happen in minutes, not days or weeks Another group of common IT/admin tasks are greatly reduced in scope by moving to Automation Cloud, and therefore cost less. For example, Automation Cloud Robots require no administration at the server/OS level, and they make configuration of the Robot VM and connection back you our own network much quicker and easier than self-hosting robots. So not only does the IT work required go down, but again you can be delivering value much more quickly, and with fewer risks associated with implementation. This also applies to in-product administration and monitoring tasks – you no longer have the work and cost of monitoring hardware/virtual hardware, and only need to manage in-product tasks (like, for example, log analysis or reporting on trends with Insights). Because Automation Cloud has shared platform services and RBAC also across all product services, User and Role Management is simplified, and can still be integrated with leading integrated directory providers (IDP’s). Finally, even if you intend to keep self-hosting robots (instead of SaaS Automation Cloud Robots), Automation Cloud offers full support for that “hybrid” configuration and you will still find your admin costs reduced through not needing to configure/run your own orchestrator. Flexible robot options are an important part of the UiPath value proposition. Automation Cloud can seamlessly manage any combination of robots, so you can optimize for the best combination of admin costs vs. the robot delivery approaches that best fit your specific needs.
  • #17: Confirm that UiPath Cloud supports customer applications and external applications based on customer's necessary security policies Prepare a comprehensive roll back procedure For security and authentication with SAML/Azure AD, etc., suggest doing a quick PoC before the real migration to make sure these integrations work as expected for your organization Prior to migration, experiment with the Cloud Migration tool (if following "Lift and Shift") to see what components are migrated. Then, you can complement the plan with list of items that will need to be migrated using Orchestrator Manager or migrated manually (Folder feeds, Users, Queue items, Action Catalogs, Webhooks, etc.) Leverage the tools at your disposal as much as possible (Cloud Migration tool for "Lift and Shift" & Orchestrator Manager for "Incremental Migration") Backup the decommissioned environment after the migration (config files, databases, VMs). This will ensure you have a way to roll back in case something goes wrong during monitoring phase. The DB backup will allow you to have old logs if needed for compliance reasons
